How can you make a difference?

Under the supervision and guidance of the Administration and Finance Specialist (P-3)/Operation Specialist, the Administrative Associate is responsible for executing a broad variety of procedural and specialized administrative support tasks for UNICEF’s Ebola response in Bunia.

The incumbent will provide operational, administrative, budget monitoring, procurement, travel, logistics, workflow and records management support, requiring in-depth knowledge of UNICEF administrative procedures, processes and policies.

The role will help ensure timely, efficient, and compliant administrative support to enable rapid implementation of emergency response activities.

MAJOR DUTIES AND RESPONSIBILITIES

  • Monitor budgets and expenditures, ensuring compliance with UNICEF rules and regulations, and keeping the supervisor informed of required actions.
  • Support budget preparation, revisions, monitoring, and financial closure activities.
  • Maintain records, trackers, and control systems for budget and administrative monitoring.
  • Process transactions in VISION related to grants, travel, procurement, and invoices.
  • Ensure timely and accurate data for work planning, monitoring, and reporting.
  • Conduct basic research and analysis of administrative data to support decision-making.
  • Monitor implementation of activities against plans and deadlines, recommending improvements where needed.
  • Support processing of contracts (consultants, SSAs, PCAs) in line with UNICEF procedures.
  • Maintain vendor lists, consultant rosters, and administrative records.
  • Manage correspondence, workflow, and information flow within the team.
  • Maintain filing systems (electronic and physical).
  • Organize meetings, prepare agendas, and take minutes.
  • Support logistics for training, workshops, and missions.
  • Prepare and share background materials for meetings and events.
  • Provide travel support including bookings, entitlements, and documentation.
  • Liaise with travel focal points and service providers.
  • Maintain travel records and monitor travel-related expenditures.
  • Process invoices and follow up on approvals and payments.
  • Support management of office supplies, inventory, and equipment.
  • Assist in physical inventory and asset management.
  • Maintain attendance tracking systems where required.
  • Perform any other administrative tasks required to support emergency operations.

Minimum requirements

Education: Completion of secondary education is required.
Work Experience: Minimum of six years of progressively responsible administrative or clerical experience is required. Experience in administrative support, procurement, travel, logistics, or office operations is required.
Skills: Administrative procedures, prioritization, fast-paced environments, Interpersonal communication skills, Integrity confidentiality, Professionalism.
Language Requirements: Fluency in French is required

  • Experience working with government counterparts, local authorities, community structures, UN agencies, coordination mechanisms, and implementing partners in insecure or hard-to-reach areas is considered an asset.
