Purpose for the Post

Under the direct supervision of the Head, Maritime Training and Human Element; and the overall supervision of the Deputy

Director, Subdivision for Operational Safety and Human Element (OSHE), the incumbent will carry out a variety of secretarial and administrative duties in support of the work of the section, in particular in relation to model courses.

Main Duties and Responsibilities

Under the overall supervision of the Deputy Director, Subdivision for Operational Safety and Human Element (OSHE) and the direct supervision of the Head, Maritime Training and Human Element, the incumbent will carry out a variety of secretarial and administrative duties in support of the work of the section, including:

  • Support Secretariat functions in the context of the duties and responsibilities related to the STCW Convention and Code, and model course development and revision process, in particular assisting in the preparation, editing and finalization of the large volume of documentation, as instructed.
  • Support the work during phase 2 of the comprehensive review of the STCW Convention and Code, including the necessary work associated with the Maritime Safety Committee (MSC) and the Human Element, Training and Watchkeeping (HTW) Sub-Committee.
  • Support the work in relation to the development and revision of model courses, including:

1 monitoring and coordination of the whole process of development and revision of model courses to ensure consistency with the STCW Convention and Code;

2 proofreading and edition, as necessary, of technical documents to ensure an excellent standard of language, grammar and spelling as well as presentation, in conformity with the IMO Style Guide and established practices; and

3 carrying out SAP functions in the context of the IMO Model Courses Development Trust Fund.

4 Prepare documentation in the context of the duties and responsibilities of the post, as assigned.

5 Assist with implementation of model course related activities; perform administrative and support functions.

6 Provide administrative support to relevant projects, technical cooperation activities and technical advisory and needs assessment missions in the context of arrangements, planning, organization and implementation.

7 Undertake such other duties other related duties as may be required by the Head of Section and those connected to the scope of this post in the Maritime Safety Division, as may be assigned.

Professional Experience

At least 5 years’ experience in secretarial or administrative work, preferably within the UN system, similar support experience in an international organization would be an added advantage.

Education

Secondary education or equivalent to university entrance standard is essential. Formal secretarial training will be a distinct advantage.

Language Skills

Proficiency in English and ability to draft clearly and concisely is essential. Knowledge of any other UN language, particularly French or Spanish, would be an advantage.

Other Skills

Excellent computer skills (MS Office applications) are essential. Knowledge of SAP and experience with database management would be an asset.

  • Ability to maintain confidentiality and to deal tactfully in all situations and interactions.
  • Excellent oral and written communication skills in English.

Contract Information

The first year of contract will be probationary with the possibility of further extension subject to satisfactory performance. This post is limited to local status* only.

Local status requires applicants to have unhindered permission to live and work in the UK

Salary Information

Approximately £43,490 net per annum, (subject to deductions), free of income tax in the UK. Excellent benefits including medical insurance and UN pension scheme.
