CONTEXTO ORGANIZATIVO
RESPONSABILIDADES PRINCIPALES (lista indicativa y no exhaustiva)
1. Recopilar, ordenar y distribuir correspondencia, informes y otros materiales para atender las necesidades del personal en los plazos establecidos.
2. Responder a las consultas ordinarias recibidas o remitirlas, cuando sea apropiado, a las instancias superiores, para prestar un servicio oportuno y esmerado a los clientes.
3. Corregir documentos escritos, como informes y correspondencia estándar, para contribuir a la exactitud de la información escrita elaborada por el personal.
4. Llevar a cabo, cuando se requiera, un conjunto de actividades ordinarias de apoyo operativo, para contribuir al funcionamiento eficaz de las operaciones institucionales.
5. Hacer preparativos de viaje y ayudar a organizar eventos, entre otros menesteres, para ayudar al personal a trabajar con eficacia.
6. Ayudar en el mantenimiento de ficheros, documentos y registros de oficina, de conformidad con los sistemas y procedimientos establecidos, para que la información esté al día y el personal pueda acceder fácilmente a ella.
7. Realizar tareas estándar de introducción de datos de conformidad con los sistemas definidos, para velar por que la información esté organizada y el equipo operativo pueda acceder fácilmente a ella.
8. Conocimiento de realización de inventarios, procesos administrativos, procesos competitivos para contratación de servicios, manejo de facturación, relacionamiento y negociación con proveedores.
CUALIFICACIONES Y EXPERIENCIA ESTÁNDAR MÍNIMAS
Experiencia
Mínimo tres (3) años de experiencia en tareas administrativas de carácter general.
Conocimiento en software SAP y manejo del paquete Office; se valora experiencia previa en ONGs o agencias del Sistema de Naciones Unidas.
Experiencia en apoyo administrativo, gestión de contratos, coordinación de operaciones de envíos, así como en la producción y análisis de informes de gestión.
Conocimientos intermedios en hojas de cálculo y en el uso de paquetes de bases de datos.
Habilidad analítica, con experiencia y conocimientos sólidos en procesos administrativos.
Conocimientos y competencias
• Conocimiento de las tareas y los métodos estandarizados de apoyo operativo.
• Conocimiento de los paquetes de programas informáticos estándar para oficina, como Microsoft Excel, Word.
• Tacto y cortesía para intercambiar información con una gran variedad de personas.
• Gran atención a los detalles para encontrar discrepancias en los datos.
• Capacidad para trabajar respetando los plazos y seguir instrucciones claras.
