Reporting LinesThe Finance Assistant will report to the National Officer. He or she will work closely with the Finance Unit team as well as FAO Decentralized Offices. Technical FocusDelivery of financial services to FAO Decentralized Offices in the area of Fixed Assets.Tasks and responsibilitiesThe incumbent will perform the following duties:• Performs assigned transaction-processing activities related to the maintenance of the Asset Register, including updating asset records and entering or correcting serial numbers, custodian information and other relevant asset data.• Reviews and processes supporting documentation received from headquarters divisions and country offices in a timely and accurate manner.• Responds to incoming requests and queries received through ServiceNow, investigates assigned cases and takes or coordinates the necessary follow-up actions.• Supports data-quality review exercises, monitors outstanding issues and contributes to maintaining the accuracy, completeness and reliability of the Asset Register.• Supports country offices throughout the Physical Verification of Assets (PVA) process, including providing guidance, reviewing submissions, responding to queries and following up on outstanding actions or identified discrepancies.• Delivers training sessions and knowledge-sharing activities for country office and headquarters focal points on asset-management processes, systems, procedures and related requirements.• Contributes to the preparation and maintenance of procedural documentation, user guidance, monitoring tools, spreadsheets, reports, presentations and training materials.• Participates in process-improvement, system-enhancement and automation projects, including the identification of operational inefficiencies, testing of proposed solutions and implementation of improved working methods.• Applies the relevant FAO Manual Sections, policies, standards and procedures in carrying out assigned responsibilities.• Develops and maintains a sound understanding of asset-management, data-quality monitoring and physical verification related processes and policies.• Perform other duties as required CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWINGMinimum Requirements • Secondary School Education • At least one year of relevant experience in the area of Finance• Working knowledge (level C) of English • National of Hungary or resident of the country with valid work permit.FAO Core Competencies• Results Focus• Teamwork• Communication• Building Effective Relationships• Knowledge Sharing and Continuous ImprovementTechnical/Functional Skills• Knowledge of the communication and documentation standards; • Knowledge of another FAO official language (Arabic, French or Spanish) would be an asset; • Knowledge of the MS Office applications and Oracle ERP application or similar ERP system Please note that all candidates should adhere to FAO Values of Commitment to FAO, Respect for All and Integrity and Transparency.
