Duties and Responsibilities

1. Background The Central Support Services Division (CSSD) provides operational and administrative support to UNRWA's programmes, including travel and visa administration services. The Travel and Visa Unit facilitates the processing, management, and record keeping of official travel documentation for UNRWA personnel, ensuring compliance with Agency policies and host government requirements. To strengthen document management and improve the accessibility of travel records, the Travel and Visa Unit is seeking an Intern/Volunteer to support the scanning, organization, and archiving of travel-related documentation.

2. Objective of the Internship The internship offers students or recent graduates an opportunity to gain practical experience in administrative support, records management, and document control within an international organization. The selected intern will assist the Travel and Visa Unit in organizing, digitizing, and maintaining travel documentation, contributing to efficient records management and improved administrative processes.

3. Duties and Responsibilities Under the direct supervision of the Senior Travel and Visa Assistant and head of Admin Services Section, the Intern/Volunteer will:

Support the digital transformation and records management initiatives of the Travel and Visa Unit by organizing, validating, and maintaining electronic information in accordance with established information management standards.

Assist in reviewing operational data and system entries to enhance data quality, reporting accuracy, and management information for decision-making.

Contribute to the development, documentation, and continuous improvement of business processes, Standard Operating Procedures (SOPs), workflows, and operational guidelines.

Support business process automation initiatives by assisting with process mapping, requirements gathering, testing, and documentation of digital solutions.

Provide analytical and coordination support for operational projects, including preparing meeting documentation, recording key decisions, monitoring action points, and supporting implementation activities.

Assist in maintaining operational dashboards, tracking tools, and performance indicators to support effective service delivery and reporting.

Conduct research and benchmarking on administrative best practices, digitalization, and process optimization to support continuous improvement initiatives.

Handle official information with the highest level of professionalism, confidentiality, and integrity.

Perform other projects and operational support assignments related to administrative service improvement as assigned by the supervisor 4. Supervision and Performance Evaluation The Intern/Volunteer will work with Head of Administrative Services Section under the direct supervision of the Senior Travel and Visa Assistant or Travel and Visa Associate, who will provide orientation, guidance, and regular feedback throughout the internship. Performance evaluations will be conducted midway through and at the end of the internship to support learning and professional development._

Qualifications/special skills

5. Required Qualifications: Education: Applicants must meet one of the following criteria:

Be currently enrolled in a graduate (bachelor’s or equivalent) programme in economics, business administration, logistics, supply chain management, international trade, admin management, international relations, law, political science, computer science, literature and editing, languages or a related field Experience:

Applicants to the UNRWA Internship Program are not required to have professional work experience. However, a field of study that is closely related to the type of internship that you are applying for is required

No prior work experience is required

Previous coursework, internships, or project work related to facilities management, logistics, or property administration is desirable

Fluency in English - written and spoken is required

Writing skills

Languages

Excellent written and spoken English and Arabic are required

This is an unpaid internship. Interns are responsible for all associated costs, including travel, visas, accommodation, and insurance

Interns must provide proof of valid medical and accident insurance prior to commencing the internship

The internship does not carry any expectation of employment with UNRWA

Interns are considered complementary personnel with non-staff status

Costs and arrangements for travel, visas, accommodation and living expenses are the responsibility of interns or their sponsoring institutions. Interns who are not citizens or permanent residents of the country where the internship is undertaken, may be required to obtain the appropriate visa and work/employment authorization. Successful candidates should discuss their specific visa requirements before accepting the internship offer.
