Under the general supervision of the Shipping Specialist, the purpose of the job is to ensure timely and cost-effective delivery of supplies to UNICEF-assisted programs and Procurement Service Customers.
The Procurement Assistant contributes to maintaining compliance with applicable international and regulatory standards in supply chain operations, especially for regulated products such as medicines. Adherence to mandatory training requirements and internal procedures to maintain product safety and quality throughout the supply chain.
Key functions, accountabilities and related duties/ tasks
- Is responsible for the timely and cost-effective execution of UNICEF shipments.
- In liaison with forwarding agents arranges consolidation and dispatch of shipments, taking into account programme priority, warehouse capacity, purchase order delivery dates and special requests from Field offices & Procurement Service Customers.
- Follows up on late deliveries and expedites reports provided by Freight Forwarders.
- Validates all shipping documents, bills of lading, airway bills, packing list etc, and updates the relevant FLS data Fields. Distributes Shipping Reports/Government Receipts via e-mail to Field Offices.
- Analyses and verifies invoices for freight and associated charges.
- Maintains and updates the Ship-to-Party portion of the Customer Master in the FLS.
- Provides Field Offices and other Centres in Supply Division with freight estimates and quotations to ensure correct budget allocation.
- Provides guidance and advice to Field Offices and other Centres in Copenhagen on shipping matters such as packing, containerisation, mode of shipment, routings, etc. enabling correct instructions in purchase orders by Procurement and cost-effective delivery.
- Investigates new routings, maintains and updates freight tariffs as well as the Customer Master.
- Provides backup for other team members and performs other duties as requested by the Supervisor.

- Language: Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
- Humanitarian Logistics Experience, Freight Forwarding Experience, Knowledge of Import Regulations, SAP, Excel Analytical Tools
- Relevant experience at country level, particularly in development, fragile settings and humanitarian contexts.

UNICEF appointments are subject to medical clearance. Issuance of a visa by the host country of the duty station is required for IP positions and will be facilitated by UNICEF. Appointments may also be subject to inoculation (vaccination) requirements, including against SARS-CoV-2 (Covid). Should you be selected for a position with UNICEF, you either must be inoculated as required or receive a medical exemption from the relevant department of the UN. Otherwise, the selection will be canceled.
