Organizational Context and Scope
Under the overall supervision of the Programme Manager and the direct supervision of the Project Coordinator, the Project Assistant will support the implementation of the project entitled "Piloting Online Employment Facilitation Platform for Hard-to-Access Temporary Shelters in Thailand."
The project aims to increase access to lawful employment opportunities for residents of Baan Mai Nai Soi (BMNS) Temporary Shelter through a digital employment facilitation mechanism that supports worker profiling, employer engagement, employment matching, pre-deployment processing, deployment, and post-deployment follow-up.
The incumbent will support day-to-day project implementation, stakeholder engagement, employer outreach, beneficiary registration, data management, monitoring, reporting, and administrative coordination to ensure the timely achievement of project objectives.
- Assist in the implementation and monitoring of project activities in Mae Hong Son Province, particularly in Baan Mai Nai Soi (BMN) Temporary Shelter.
- Retrieve, compile, summarize, and present information/data on project data, including beneficiary records and platform data, etc.
- Monitor budget by verifying availability of funds, obtaining necessary approval and updating budget related information.
- Support administrative coordination of project implementation, involving liaison with diverse organisational units and external parties, such as youth facilitators, to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, etc.
- Provide administrative support for supply chain and finance activities, such as procurement follow up and processing payments for goods and services.
- Draft status reports, identify shortfalls in delivery and bringing them to the attention of supervisor, as well as correspondence, briefing notes, graphics, statistical tables, presentations and other forms of documentation.
- Organize meetings, workshops and training sessions.
- Respond to general information requests and inquiries. Set up and maintain files/records.
- Perform such other relevant duties as maybe assigned.
Education
- Bachelor's degree in social sciences, International Relations, Migration Studies, Development Studies, Public Administration, Political Science, Business Administration, Human Resources, Economics, or a related field from an accredited academic institution with two years of relevant professional experience; or
- High School Diploma with four years of relevant professional experience.
Experience
- Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organisations;
- Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
- Prior work experience with international humanitarian organisations, non-government or government institutions/organisation in a multi-cultural setting is an advantage.
Skills
- Knowledge of labour migration, refugee assistance, livelihoods or community-based programmes is an advantage.
- Ability to maintain professionalism, discretion, and a respectful attitude in a culturally diverse and sensitive environment.
Strong organizational and administrative skills.
- Ability to follow instructions, work as part of a team, and respond flexibly to changing priorities.
- Demonstrated commitment to accuracy, reliability, and efficiency in completing assigned tasks.
- Sensitivity to gender and cultural diversity; ability to work respectfully with colleagues from diverse backgrounds.
- Ability to manage time effectively and meet assigned deadlines under supervision.
- Good communication skills in Thai and English, both written and spoken.
Languages
All IOM staff members in all categories are required to be fluent in one of the IOM's official languages (English, French, Spanish).
For this position, Fluency in English and Thai is required (oral and written)
Working knowledge of Karreni, Karen and/or Burmese is desirable.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
