Duties and Responsibilities

This position is located within the Office of the Deputy Special Representative of the Secretary-General (ODSRSG), UNMIK, in Pristina. The Project Management Assistant reports to the Special Assistant to the DSRSG. Within delegated authority, the Project Management Assistant will be responsible for the following duties: Project Management Office (PMO) Support:

Support the establishment and operationalization of the Project Management Office (PMO) Cell within the Office of the Deputy Special Representative of the Secretary-General (ODSRSG).

Contribute to the development and implementation of PMO workstreams, systems, processes, and reporting mechanisms to strengthen project oversight, coordination, and performance management. Programme and Project Implementation Support:

Provide operational, administrative, and programmatic support for the planning, implementation, coordination, and monitoring of programme and project activities.

Support programme and project managers in the planning, execution, and monitoring of activities to ensure timely and effective implementation.

Support oversight of the local implementation and coordination of UMOJA-related processes with relevant sections, including monitoring progress and facilitating the resolution of issues related to project establishment, fund commitments, disbursements, and project closures. Responsibility for UMOJA submissions and associated follow-up actions remains with the respective sections.

Assist in monitoring and tracking project funds across all implementation modalities and support compliance with financial and administrative requirements.

Collect, organize, maintain, and analyze data related to programme and project activities.

Support the preparation of reports, briefings, presentations, and other documentation by compiling relevant data and information.

Maintain organized electronic and physical records of programme and project documentation in accordance with United Nations standards and records-management requirements.

Perform any other related duties as assigned by the supervisor.

Qualifications/special skills

Completion of Secondary / High School education with confirmed diploma. Training in administration, project management or related fields is required. Strong computer skills, including experience with Microsoft Office and enterprise systems (e.g. Umoja) are required. Ability to work in multicultural environment is required. Strong interpersonal and communication skills are required. Minimum of 8 years of relevant experience in programme/project implementation, administration, or data management. Experience working with international organization organizations or in multi-stakeholder environment is desirable.

Languages

Fluency in both written and spoken English is required. Knowledge of the Albanian and Serbian languages is desirable.

Additional Information

Initial contract duration is for 3 months with possibility of extension for additional 3 months. This is a locally recruited individual contractor.
