- Assist in coordinating day-to-day dispatch activities as per need for intercity and within city missions.
- Support efficient coordination with dispatch team for smooth operations, including.
- Ensure that vehicles are registered and licensed, and that these documents are always up to date.
- Monitor procurement-related documents and archive vehicle documentation (insurance policies, vehicle registration certificates, accident reports, repair orders, repair invoices, logbooks, reports, etc.). Keep vehicle records up to date.
- Keep record of driving licenses and necessary permissions for dispatch and international staff with authority to drive.
- Randomly check logbooks and track mileage viz a viz fuel consumption. Notify fleet manager in case of any observation.
- Generate leave plan for complete year of dispatch team.
- Verify the fleet is in working condition and generate vehicle maintenance requisitions as per need with approval of fleet manager.
- Closely coordinate and act as backup for Airport team focal person.
- Generate incident reports immediately for vehicles involved in traffic accidents and any other damage to IOM vehicle.
- Coordinate with insurance focal person and OSS in case of accidents. Make sure that vehicles are repaired through insurance as soon as possible.
- Generate daily reports of vehicles, reflecting vehicles status in Juba, on mission, under maintenance or any other task.
- Provide inputs for the evaluation of drivers.
- Perform other duties as may be assigned.
EDUCATION
EXPERIENCE
- Experience working in an international organisation an advantage.
SKILLS
- High level of computer literacy;
- Ability to work with national and international institutions;
Ability to prepare clear and concise report;
- Excellent communication and negotiation skills;
- Ability to establish realistic requirements to meet IOM needs.
For this position, fluency in English and French is required. Knowledge of a second official UN language is desirable.
