ORGANIZATIONAL CONTEXT
The United Nations Humanitarian Response Depot (UNHRD) is a network of strategically located hubs in Brindisi, Accra, Dubai, Panama and Kuala Lumpur, established to support humanitarian organizations and the broader international community in responding to emergencies and crises. UNHRD provides essential services such as storage, easy access to critical supplies, and technical assistance. The position holder will work under the supervision of the Head of Finance in a team that provides support for all financial services to the entire UNHRD Network.
THE ROLE
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
- Gather information with clear direction to support the drafting of documents and preparing reports by other staff.
- Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients.
- Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
- Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
- Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
- Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work.
- Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
- Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.
- Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
OTHER POST REQUIREMENTS
- Accounts Payable Support — Receive and Process vendor invoices, verify supporting documents, register transactions, and ensure timely approval and payment.
Financial Processing & Reconciliation — Assist with SAP financial entries, monitor outstanding items, and support basic reconciliations and financial documentation for internal control, audit, and management review purposes.
Cashier & Administrative Support — Manage petty cash in line with WFP procedures and provide general administrative and finance support as required.
Essentials
- Knowledge of finance and accounting principles.
- Some experience using office equipment and computer software packages such as MS Word and MS Excel (e.g. pivot tables, lookup functions).
- Ability to identify data discrepancies and rectify problems requiring attention.
- Ability to manage multiple priorities while maintaining accuracy and attention to details.
- Uses tact and courtesy to give and receive information to a wide range of individuals.
- Flexibility and willingness to learn, with the ability to adapt to different tasks and priorities.
Desirables:
- Knowledge of accounts payable workflows and invoice tracking systems.
- Experience supporting audit activities and internal control processes.
- Familiarity with International Accounting Standards (IFRS/IPSAS).
QUALIFICATIONS AND EXPERIENCE
Education: Completion of secondary school education. A post-secondary certificate or diploma in Finance, Accounting, Business Administration, Economics, or a related field is desirable.
Experience
- At least four (4) years of progressively responsible experience in finance, accounting, budget, treasury, or related business support functions.
- Experience in accounts payable, invoice processing, and financial reconciliation activities.
- Experience working with ERP systems, preferably SAP, or similar enterprise resource planning platforms.
- Experience in an international organization, humanitarian environment, or shared service setting is desirable.
TERMS AND CONDITIONS
The World Food Programme offers a competitive compensation package, which will be determined based on the contract type and the selected candidate's qualifications and experience.

- Be an Italian or other EU citizen, or hold a valid permit to live and work in Italy; and
