INTERNSHIP OFFICE BACKGROUND

The Government of Australia (GOA) has invested AUD20.6 million in the Strengthening Institutions and Empowering Localities Against Disasters and Climate Change (SHIELD) Programme 2021-2028 to support the Government of the Philippines (GPH) in building institutional and community resilience to climate change and natural hazards. The goal of the SHIELD Programme is to make all people in target communities safer and more resilient to the impacts of natural hazard events and climate change. This will be realized by achieving three inter-dependent outcomes/components:

  • Component 1: Government, private sector, and civil society stakeholders in targeted local government units (LGUs) are collaborating to unlock funding and implementing informed and inclusive resilience actions
  • Component 2: Relevant national government agencies (NGAs) are prioritizing action on local climate and disaster resilience
Component 3: Philippine scientific agencies are producing tailored and accessible information for local resilience action

In partnership with the Government of the Philippines, the SHIELD Programme is implemented by the United Nations Development Programme (UNDP), together with consortium partners, UN-Habitat, Philippine Business for Social Progress, National Resilience Council Foundation Incorporated, and the Consortium of Bangsamoro Civil Society. All five Consortium partners will serve as Implementing Partners responsible for managing respective project outputs and activities, in harmony with other workstreams, and manage risk in accordance with the agreed project document. The Department of Interior and Local Government (DILG) serves as lead Government partner for the implementation of the SHIELD Programme.

UNDP will set up a SHIELD Support Unit (SSU) responsible and accountable for day-to-day management of SHIELD Programme interventions across the 3 components, achieving programme outputs, and for the effective use of resources through collaborative engagement with the Consortium, GPH, multistakeholder partnerships (MSPs), and GOA. While administratively reporting to UNDP, the SSU will serve as the implementation arm of the whole SHIELD Consortium.

The SHIELD Programme strategy envisions that all people in the target communities will be safer and more resilient to the impacts of climate and disaster risk if stakeholders at national and subnational levels are collaborating and jointly planning for collective outcomes, investing and acting for building resilience, and measuring the impact of resilience-building actions.

This internship position focuses on programme management support. The intern will directly report to the Project Manager and coordinate closely with the Programme Manager and Knowledge Management Analyst on communications-related tasks.

Duties and Responsibilities

The intern will perform the following duties and responsibilities:

1. Project Implementation Support:

  • Provide support to the Project Manager in coordinating with key agency partners and contractors for the effective implementation of project activities.

Provide technical and administrative support to other SHIELD staff in the delivery of outputs

  • Conduct research and consolidate data and relevant information to support preparation and finalization of project documents and reports.
  • Participate in project management meetings.

2. Events Management Support:

  • Support the planning and coordination of project activities such as meetings. workshops, and consultations by assisting with logistics, scheduling, and the preparation of event materials.
  • Coordinate with partner agencies and stakeholders to ensure the smooth implementation of project activities.
  • Provide support during implementation of project activities such as documenting events by taking notes and preparing event highlights or post-activity reports and ensuring administrative requirements.

3. Communications:

  • Provide support to the Programme Manager and Knowledge Management Analyst in the development and implementation of the communications plan of the SHIELD Programme and support in creating communications materials, including the management of a communications calendar for the SHIELD Programme
  • Support content creation (quote cards, event highlights, press releases, etc.) for project related social media channels.

4. Others:

Support other/ad hoc activities related to the SHIELD Programme as requested by the supervisor.

Competencies

  • Proficient user of Microsoft Office productivity tools, preferably knowledgeable in Excel functions and SharePoint Proficient user of Adobe Photoshop, Illustrator, InDesign or other design tools for development of multimedia products; and Knowledge of collaborative online tools, or willing to learn their use.

Note: Candidates must submit one technical writing sample (2-5 pages) demonstrating analytical, research, or report-writing skills.

Other competencies and attitude:

  • Interest and motivation in working in an international organization;
  • Good analytical skills in gathering and consolidating data and research for practical implementation;
  • Communicates effectively when working in teams and independently;
  • Good in organizing and structuring various tasks and responsibilities;
  • Displays cultural, gender, religion, race, nationality and age sensitivity and adaptability;
  • Responds positively to feedback and differing points of view; and
  • Consistently approaches work with energy and a positive, constructive attitude showing willingness to learn.

Required Skills and Experience

Education: Candidates must meet one of the following educational requirements:

  • Fluency in Filipino and English required;
  • Knowledge of other UN languages is an advantage

INTERNSHIP CONDITIONS:

  • UNDP accepts no responsibility for costs arising from accidents and/or illness or death incurred during the internship; When necessary, interns are responsible for obtaining necessary visas and arranging travel to and from the duty station where the internship will be performed; When necessary, interns may be required to join official field missions outside of the duty station, at the expense of the appropriate project; Interns are not eligible to apply for, or be appointed to, any post in UNDP during the period of the internship; Interns must provide proof of enrolment in health insurance plan; Interns are not staff members and may not represent UNDP in any official capacity; Interns are expected to work full time, but flexibility is allowed for educational programmes; Interns need to obtain financing for subsistence and make their own arrangements for internship, travel, VISA, accommodation, etc. Interns are expected to have his/her own equipment (laptop), and internet connectivity; and Mobility arrangements (onsite or remote) for interns will be agreed upon by the Project Manager with selected candidates, following the policy of the UNDP Philippines Country Office.
